Enrollment, Tuition, Billing & General Policies
Effective: September 2026
This Agreement applies to recreational classes and programs operated by Gymnastics World LLC ("Gymnastics World," "we," "us," or "our"), unless separate written terms are provided for a particular program.
Competitive teams, private lessons, camps, clinics, special events, appointments, packages, and promotional programs may have additional terms. When specific written terms are provided for one of those programs, those specific terms control for that program.
1. PARENT OR GUARDIAN AUTHORITY
The adult registering a minor participant represents that the adult is the participant's parent, legal guardian, or otherwise has legal authority to enroll the participant and accept these terms.
The responsible account holder is financially responsible for properly authorized charges associated with the enrollment.
Parents and guardians are responsible for maintaining current telephone numbers, email addresses, emergency contacts, authorized pickup information, and medical or allergy information relevant to safe participation.
Gymnastics World must be able to contact a responsible adult while a minor participant is attending a program.
2. REGISTRATION & CLASS PLACEMENT
Enrollment is subject to class availability, appropriate age and skill placement, completion of required registration information, acceptance of applicable agreements, and payment of applicable tuition and fees.
Class placement may be based on age, skill level, safety, maturity, available space, and coaching assessment.
Registration or membership fees shown at enrollment are non-refundable unless Gymnastics World expressly states otherwise in writing or applicable law requires otherwise.
Competitive teams and specialized programs may have separate registration requirements and agreements.
IMPORTANT — CONTINUOUS ENROLLMENT & AUTOMATIC PAYMENT
PLEASE READ THIS SECTION CAREFULLY.
Unless a specific program states otherwise, enrollment is continuous and remains active until properly canceled.
Regular monthly tuition is scheduled for automatic payment on the 15th of the applicable billing month.
By enrolling and authorizing automatic payment, the responsible account holder authorizes Gymnastics World and its payment processor to charge the payment method on file for recurring tuition and other charges expressly disclosed and authorized under the participant's applicable program agreement.
Tuition or program pricing may change. Gymnastics World will provide notice of material pricing changes as required by applicable law.
TO STOP THE NEXT SCHEDULED RECURRING TUITION CHARGE, A CANCELLATION REQUEST MUST BE SUBMITTED AT LEAST 10 WORKING DAYS BEFORE THE NEXT BILLING DATE.
Enrollment does not automatically end because a student stops attending classes.
3. TUITION
Tuition is charged according to the program, training frequency, and rate disclosed during registration.
Tuition reserves the student's enrollment and class placement. It is not calculated solely according to individual attendance.
Therefore, voluntary absences do not automatically create refunds or account credits. Vacations and personal scheduling conflicts do not automatically suspend tuition. Missing a class does not constitute cancellation. An approved freeze or completed cancellation must be submitted according to the procedures below.
Promotional enrollments may be subject to additional terms disclosed with the promotion.
4. CANCELLATION — SIMPLE ONLINE PROCESS
Gymnastics World does not require families who registered electronically to visit the facility in person solely to cancel enrollment.
To discontinue recurring enrollment, submit the cancellation request at least 10 working days before the next scheduled billing date.

Families needing assistance locating the cancellation form may contact:
A cancellation request received fewer than 10 working days before the next scheduled billing date may become effective after that billing cycle, subject to applicable law.
Cancellation generally does not produce a refund or credit for tuition or other charges properly incurred before the effective cancellation date.
Stopping attendance, informing a coach verbally, or simply not attending class does not by itself cancel enrollment. Please use the online cancellation process so that your request is documented and confirmed.
Nothing in this policy limits cancellation or refund rights that cannot legally be waived.
5. ACCOUNT FREEZE
Families temporarily leaving a program may request an account freeze.
Unless Gymnastics World management approves otherwise, the freeze request must be submitted at least 10 working days before the next billing date.
A membership may generally be frozen for no more than one month during a 12-month period.
There is no separate freeze fee.
The student's place in the same class after a freeze is not guaranteed unless Gymnastics World specifically agrees to reserve that space.
When Gymnastics World agrees to hold a student's specific class placement during a freeze, advance payment associated with the student's return period may be required. If the payment is specifically identified as a non-refundable class-reservation payment before purchase, the disclosed reservation terms will apply.
6. LATE OR RETURNED PAYMENTS
Account balances should be paid by the applicable billing date.
If an account remains unpaid for more than 10 days after the scheduled billing date, Gymnastics World may assess a $25 late fee.
A returned check or returned payment may be subject to a $35 returned-payment fee, plus applicable bank charges.
Participation may be suspended while an account remains delinquent. When necessary, Gymnastics World may remove a student from a class and offer the available space to another student.
7. MAKE-UP CLASSES
Unless a program has a different written policy, one make-up class may be permitted for one eligible missed class per month.
Make-up classes are subject to appropriate class availability and must be scheduled in advance through Gymnastics World. At least 24 hours' advance scheduling may be required.
Requests should ordinarily be made within 30 days of the original absence.
Make-ups may not be available while an account is frozen and may not be scheduled after the effective cancellation date.
Missed classes do not create monetary credits.
Make-up classes are a scheduling accommodation and cannot be guaranteed when an appropriate class has no available space.
8. GYM CLOSURES
Gymnastics World may close for scheduled holidays, vacation periods, competitions, maintenance, severe weather, emergencies, or circumstances requiring temporary facility closure.
The regular annual program calendar may include approximately two scheduled closure weeks, typically including a summer closure period and a winter/holiday closure period.
Monthly tuition is structured with the annual program calendar already taken into consideration. Scheduled closure periods therefore ordinarily do not result in tuition prorations, refunds, or additional make-up classes unless Gymnastics World expressly states otherwise.
Extended or unusual closures may be addressed separately according to the circumstances and applicable law.
9. CLASS SCHEDULES, COACHES & PLACEMENT
Gymnastics World works to maintain its published schedules but may make reasonable operational changes when necessary.
These changes may include instructor changes, class combinations or divisions, schedule adjustments, training-group changes, equipment assignments, class cancellations or rescheduling, and movement of a student to a more appropriate instructional level.
Enrollment does not guarantee instruction by a particular coach.
10. FACILITY & SAFETY RULES
Only authorized participants, coaches, employees, and individuals specifically permitted by Gymnastics World may enter instructional areas or use gymnastics equipment.
Parents, siblings, friends, and visitors may not enter training areas or use equipment without authorization and appropriate supervision.
Participants are expected to follow coach instructions, use equipment only when authorized, remain in designated areas, comply with check-in and pickup procedures, and behave respectfully toward coaches, staff, other participants, and families.
Unsafe conduct, threatening or harassing behavior, or behavior that materially disrupts instruction may result in restriction, removal from class, suspension, or termination of enrollment.
11. DROP-OFF & PICKUP
Parents and guardians are responsible for complying with Gymnastics World's current drop-off and pickup procedures.
Minor participants may not independently leave the facility unless appropriate authorization has been provided or the program's established procedures specifically allow it.
Parents and guardians should arrive promptly for pickup and maintain current contact information for a responsible adult.
12. HEALTH, INJURY & ILLNESS
Parents and guardians are responsible for informing Gymnastics World of medical conditions, allergies, injuries, physical restrictions, medications, or other information reasonably relevant to safe participation.
Participants should not participate when an illness, injury, or other condition makes participation unsafe for the participant or others.
Gymnastics World may temporarily restrict participation when staff reasonably believe participation presents an immediate safety concern.
13. PERSONAL BELONGINGS
Participants should avoid bringing unnecessary valuables into the facility.
Gymnastics World is not responsible for ordinary loss, theft, or damage to personal belongings except to the extent that responsibility cannot legally be limited.
Families are encouraged to clearly label important personal items.
14. PRIVATE LESSONS
Private lessons are subject to coach availability, facility availability, pricing in effect at the time of purchase or booking, program rules, and the cancellation terms disclosed when the lesson or package is purchased.
Where Gymnastics World offers a private-lesson package, scheduling platform, or promotion, the written terms presented with that purchase control.
Private lessons must be scheduled through Gymnastics World's approved scheduling procedures.
15. COMPETITIVE TEAMS
Competitive teams may have separate agreements governing training commitments, tuition, annual registration, meet fees, uniforms, choreography, travel, attendance, competition participation, withdrawal, team conduct, and related obligations.
When a team-specific agreement conflicts with this Agreement regarding a team-specific matter, the team agreement controls.
16. CAMPS, CLINICS, EVENTS & PROMOTIONS
Trials, camps, clinics, events, packages, appointments, and limited-duration promotions may have their own pricing, expiration, attendance, refund, rescheduling, or cancellation conditions.
Terms disclosed with the specific offer control for that purchase.
17. SUSPENSION OR TERMINATION BY GYMNASTICS WORLD
Gymnastics World may suspend or terminate participation for serious or repeated unsafe behavior, failure to follow facility rules, harassment or threatening conduct, significant disruption, nonpayment, misuse of the facility, or other conduct materially affecting participant safety or Gymnastics World operations.
Any remaining financial obligation or refund, if applicable, will be determined according to the circumstances, the applicable program terms, and applicable law.
18. CHANGES TO POLICIES
Gymnastics World may update operational policies from time to time.
Material changes affecting recurring payments, cancellation rights, or other material enrollment terms will be communicated as required by applicable law.
Families may be required to review and electronically accept updated policies before continuing enrollment or using the Parent Portal.
PARENT/GUARDIAN ACKNOWLEDGMENT
By electronically accepting this Agreement, I confirm that:
I have had an opportunity to read these policies.
I understand that enrollment is continuous until canceled according to the cancellation procedure.
I understand that recurring tuition is ordinarily scheduled for automatic payment on the 15th.
I understand that I must submit a cancellation request at least 10 working days before the next scheduled billing date to prevent the next scheduled charge, subject to applicable law.
I agree to maintain accurate account, emergency, and participant information.
I agree to follow Gymnastics World's facility and program rules.
I accept financial responsibility for properly authorized charges associated with the enrollment.

Electronic Records & Electronic Signature Consent
I agree to conduct this enrollment transaction electronically and consent to the use of electronic records, notices, acknowledgments, and electronic signatures in connection with my Gymnastics World account.
I understand that my electronic acceptance is intended to serve as my signature.
I may request a copy of an electronic agreement or ask about conducting a future transaction through another available method by contacting Gymnastics World at [email protected].
My agreement to conduct this transaction electronically does not require me to agree that every future transaction must also be conducted electronically.
Participation, Assumption of Inherent Risk & Emergency Medical Authorization

This Agreement applies to participation in programs operated by Gymnastics World LLC ("Gymnastics World"), including artistic gymnastics, rhythmic gymnastics, aerobic gymnastics, tumbling, flexibility training, conditioning, camps, clinics, team training, private lessons, performances, competitions, open-gym activities when offered, and other related physical activities.
1. PARENT OR GUARDIAN AUTHORITY
I represent that I am the parent or legal guardian of the minor participant being registered, or that I otherwise have legal authority to make decisions concerning the participant's involvement.
I voluntarily authorize the participant to take part in Gymnastics World activities.
2. NATURE OF GYMNASTICS ACTIVITIES
I understand that gymnastics and related athletic activities involve significant physical exertion and complex movement.
Participants may run, jump, tumble, invert, rotate, swing, balance, stretch, climb, vault, perform strength and conditioning exercises, land from height or momentum, and train on floors, beams, bars, vaulting equipment, trampolines, training surfaces, and other gymnastics or fitness equipment.
Some skills are performed above floor level or while the participant is moving with considerable speed, momentum, rotation, or force.
3. ACKNOWLEDGMENT OF INHERENT RISKS
I understand that gymnastics involves risks that cannot be completely eliminated even when reasonable instruction, supervision, equipment, progressions, safety procedures, and spotting are provided.
Possible injuries may include slips, trips, falls, awkward or improper landings, loss of balance, collisions, equipment-related injuries, bruises, cuts, abrasions, muscle strains, sprains, joint injuries, fractures, overuse injuries, head injuries, concussions, neck or spinal injuries, serious bodily injury, permanent disability, and, in extremely rare circumstances, death.
The nature and severity of an injury cannot always be predicted.
4. VOLUNTARY PARTICIPATION & ASSUMPTION OF INHERENT RISK
Knowing the nature of gymnastics and related athletic activities, I voluntarily permit the participant to participate.
To the fullest extent permitted by applicable law, I knowingly accept and assume the ordinary and inherent risks associated with participation in these activities.
I understand that this acknowledgment does not excuse Gymnastics World from legal responsibilities that cannot lawfully be waived.
Nothing in this Agreement is intended to waive liability for negligence, misconduct, or any other claim to the extent Virginia law prohibits that claim from being waived before an injury occurs.
5. COACHING, PHYSICAL CONTACT & SPOTTING
I understand that appropriate physical contact between a coach and athlete may be necessary during gymnastics instruction.
Coaches may physically spot an athlete, assist body position, guide movement, help prevent a fall, support an athlete during skill development, or intervene immediately when necessary for safety.
I authorize appropriate coaching contact and spotting reasonably related to instruction, skill development, and participant safety.
6. PARTICIPANT SAFETY RESPONSIBILITIES
Participants are expected to follow coach instructions, attempt only skills authorized by a coach, use equipment only when authorized, remain in designated training areas, report injuries or unusual pain, avoid intentionally dangerous conduct, behave appropriately toward coaches and other participants, and follow Gymnastics World safety procedures.
Failure to follow safety instructions may result in restriction or removal from participation.
7. HEALTH & MEDICAL DISCLOSURE
I agree to provide information reasonably necessary for Gymnastics World to understand medical conditions or limitations that could affect safe participation.
Relevant information may include allergies, injuries, medical conditions, physical restrictions, medications, or medical recommendations affecting physical activity.
I understand that Gymnastics World coaches and staff are not responsible for diagnosing undisclosed medical conditions.
I agree to update Gymnastics World when information relevant to safe participation materially changes.
8. FITNESS TO PARTICIPATE
I am responsible for determining, in consultation with an appropriate healthcare professional when necessary, whether the participant is medically capable of participating in the applicable activities.
If the participant is injured, ill, or subject to a medical restriction that may affect safe participation, I will inform Gymnastics World before participation.
Gymnastics World may temporarily restrict a participant's activities when staff reasonably believe participation presents an immediate safety concern.
9. EMERGENCY MEDICAL AUTHORIZATION
If the participant becomes injured or ill and Gymnastics World cannot promptly reach a parent or legal guardian, I authorize Gymnastics World personnel to take reasonable steps to obtain emergency assistance.
This may include contacting emergency medical services, providing relevant emergency information to responders, arranging transportation by emergency personnel, and arranging transportation to an appropriate medical facility when reasonably necessary.
I authorize licensed healthcare professionals and emergency responders to provide emergency evaluation and treatment when reasonably necessary.
I understand that Gymnastics World cannot guarantee the availability, response time, treatment decisions, or outcome of emergency medical services.
10. EMERGENCY CONTACT INFORMATION
I agree to provide accurate emergency contact information and maintain current contact information for a responsible adult.
I understand that outdated or inaccurate information may delay Gymnastics World's ability to contact me or another responsible person during an emergency.
11. MEDICAL EXPENSES
I understand that the occurrence of an injury or illness during participation does not by itself mean that Gymnastics World is responsible for the participant's medical expenses.
Responsibility for medical expenses will depend on applicable insurance coverage, the circumstances involved, applicable agreements, and applicable law.
12. PERSONAL PROPERTY
Participants should avoid bringing unnecessary valuables into the facility.
To the fullest extent permitted by law, Gymnastics World is not responsible for ordinary loss, theft, or damage involving personal belongings brought into the facility.
13. NO GUARANTEE OF INJURY-FREE PARTICIPATION
I understand that Gymnastics World cannot guarantee that an injury will never occur.
Qualified instruction, appropriate equipment, skill progressions, supervision, safety procedures, and spotting may reduce risk but cannot completely eliminate the inherent risks of gymnastics and related physical activity.
14. LEGALLY WAIVABLE CLAIMS
To the fullest extent permitted by applicable Virginia law, I release Gymnastics World LLC and its owners, officers, employees, coaches, and authorized representatives only from claims that may legally be waived in advance and that arise solely from risks knowingly and voluntarily assumed under this Agreement.
This provision does not waive any right or claim that applicable law does not permit to be waived.
PARENT/GUARDIAN ACKNOWLEDGMENT
By electronically accepting this Agreement, I acknowledge that:
I have read and understand the nature of the activities and their inherent risks.
I voluntarily authorize the participant to participate.
I agree to disclose information reasonably relevant to the participant's safe participation.
I authorize appropriate gymnastics spotting and instructional physical contact.
I authorize reasonable emergency assistance and emergency medical care when necessary and when a parent or guardian cannot promptly be reached.
I understand that participation in gymnastics cannot be made entirely risk-free.
I understand that this Agreement does not waive legal rights that Virginia law does not permit to be waived.

3. CHILDREN'S INFORMATION
Gymnastics World primarily collects information about minor participants from their parents or legal guardians.
Our website, registration systems, and inquiry forms are intended primarily for parents, guardians, and adults seeking information about our programs.
We do not knowingly request that young children independently provide personal information through our website.
Information concerning a child may be used for purposes such as:

Gymnastics World does not sell children's personal information.
Gymnastics World does not use information provided specifically about a child for targeted advertising.
Information such as a child's medical history, allergies, age, ability level, attendance, enrollment information, or other participant records is used for program administration, participant safety, coaching, and related legitimate operational purposes—not for targeted advertising.
4. PHOTOGRAPHS & VIDEOS
Gymnastics World may photograph or record classes, competitions, performances, camps, clinics, special events, or other activities.
Gymnastics World will not intentionally use a photograph or video in which a minor participant is recognizable for advertising or promotional purposes unless the appropriate parent or legal guardian has provided authorization.
Promotional photo and video permission is handled separately from this Privacy Policy.
Parents and guardians may withdraw permission for future promotional use by contacting Gymnastics World.
Once the request has been processed, we will stop intentionally using the child's recognizable photograph or video in new promotional materials.
Withdrawal applies prospectively. It may not always be possible to recall materials that were previously printed, distributed, published, posted, or otherwise lawfully used before permission was withdrawn.
Declining promotional photo or video permission does not prevent a child from participating in ordinary Gymnastics World classes.
5. PAYMENT INFORMATION
Gymnastics World uses third-party class-management and payment-processing services to assist with registrations, tuition, fees, and other authorized payments.
Payment-card information is processed through these providers.
Gymnastics World does not intentionally store full credit-card or debit-card numbers on its own website servers.
Third-party payment providers maintain their own privacy and security practices.
6. WHO WE SHARE INFORMATION WITH
Gymnastics World does not sell or rent personal information provided to us.
We share information only when reasonably necessary to operate our programs and business, provide requested services, maintain accounts, communicate with families, process authorized payments, operate our website, or fulfill other legitimate operational purposes.

Opting out of marketing does not prevent Gymnastics World from sending necessary administrative communications concerning an active enrollment, account, payment, schedule, closure, safety matter, or program.
10. HOW LONG WE KEEP INFORMATION
Gymnastics World retains enrollment and account information for as long as reasonably necessary to administer the participant's enrollment and account.
After enrollment ends, relevant enrollment and account records may generally be retained for up to five years, or longer when reasonably necessary for:
Accounting requirements
Tax requirements
Insurance requirements
Billing or payment disputes
Incident or accident records
Legal claims
Regulatory requirements
Historical enrollment records
Other legitimate business purposes
Information that is no longer reasonably necessary may be deleted, anonymized, or securely disposed of.
Prospective-Family Inquiries
Information from families who inquire about Gymnastics World but never enroll may be retained temporarily for follow-up and customer service.
As an internal privacy practice, Gymnastics World may delete or anonymize inactive prospective-family inquiry information after approximately 12 months when it is no longer reasonably needed, unless there is a legitimate reason to retain it longer or the individual has agreed to continue receiving communications.
11. HOW WE PROTECT INFORMATION
Access to student and family information is limited to employees, coaches, administrators, contractors, and service providers who reasonably need access to perform their responsibilities.
Gymnastics World uses established third-party systems for many enrollment, communication, scheduling, website, and payment functions.
We take reasonable administrative and operational measures intended to protect information.
However, no electronic system, website, email system, network, or database can be guaranteed to be completely secure.

You may contact Gymnastics World to ask us to:
Show you information we maintain concerning you or your child
Correct inaccurate information
Update contact information
Update emergency information
Delete information we no longer reasonably need and are not required to retain
Stop sending promotional communications
Update or withdraw authorization for future promotional use of your child's photograph or video
Answer questions concerning our privacy practices
Gymnastics World may need to verify the identity or authority of the person making the request before releasing, changing, or deleting information.
Certain records may need to be retained for legal, financial, accounting, insurance, safety, dispute-resolution, or other legitimate business reasons.

Gymnastics World does not control the privacy practices of independent third-party websites or services.
